Case Study | Scale With Sanity + CRM Build

"I asked God to send me the right person. He sent Tricia."

Marcia Armstrong came to The Remote Catalyst with a brand people loved, a roster that was full, and a backend that lived entirely in her head. This is the story of what we built together, and why one engagement turned into two.

Marcia Armstrong

Founder & CEO, A Purpose Life

Engagement Scale With Sanity + project +

Marcia started with our Scale With Sanity retainer to stabilize and rebuild the operational foundation. Once that work was in place, she came back for a focused CRM build project, a centralized system to hold everything we had already documented.

Timeline 90 days + build +

The retainer ran 90 days, which is the standard Scale With Sanity timeline for foundational operational work. The CRM project layered on top of that with a multi-week build window. Two engagements, one continuous arc.

Industry Coaching +

Marcia runs A Purpose Life, a service-based coaching business with a full client roster and a growing brand. The work centered on operational infrastructure that supports a one-to-many service model.

Pillars Systems + clarity +

Two of the three TRC pillars activated in this engagement. Systems Implementation built the backend that runs without her; Clarity & Consistency made her offers and content speak with the authority her brand had already earned.

Before working with The Remote Catalyst

She had built something real. She was holding it together alone.

A growing brand. A full client roster. A clear voice. From the outside, it looked like everything was working. Inside, every client moved through her personally. Nothing was automated. Nothing was documented.

Her offers were strong, but she could not always articulate them with confidence, because there was no system underneath telling the story for her. She was doing client interfacing all day with no backend to catch what came through. She was the system.

What she was risking, if she did not fix it: a business that could only grow as far as her personal capacity could stretch. And her capacity was already stretched.

What she actually needed

Not more hustle. A foundation.

Visibility

Into how leads, conversations, and clients were actually moving through her business.

Backend infrastructure

To catch and route the people her brand was bringing in.

Offer language

So she could speak about her work with confidence, not improvisation.

A real partner

Treating her vision like their own, not running a checklist.

The approach

Three phases. One arc.

Phase 1 | Retainer begins

Audit and stabilize

We started with what was actually happening in her business, not what she thought was happening. Mapped every offer, every client touchpoint, every fragmented piece. Identified where energy was leaking and where decisions were being made on instinct because there was no data to make them on.

Phase 2 | Foundation

Build the structure

Replaced manual client intake with a backend that captures, tags, and routes new clients automatically. Documented her offers with clarity so she could speak about them and the transformation each one provides. Built a content strategy with structure, every piece with a purpose, a layer, and a plan. Created automation sequences that pulled the repetitive tasks off her plate for good.

Phase 3 | The CRM project

Scale with intention

Once the foundation was in, Marcia came back for the bigger build: a centralized CRM bringing leads, conversations, payments, automations, courses, testimonials, memberships, and AI tools into one system. Not because she needed more, but because what she had finally deserved a home that could hold it.

What we built

Six things that changed everything.

  • Centralized operating system: leads, conversations, payments, courses, memberships, and AI tools living in one place.
  • Automated client intake and routing: new clients captured, tagged, and moved through the right journey without Marcia in the middle.
  • Insight dashboard: visibility into lead source, pipeline stage, and what is actually converting, without extra reporting work.
  • Documented offer architecture: each offer with clear language, transformation, and pathway.
  • Content strategy framework: every piece tied to a layer, a purpose, and a plan.
  • Room to grow: the system is built so her business can expand without bolting on new platforms.

The results

What changed, operationally and personally.

Operationally

  • Manual client intake fully replaced with automated backend.
  • Centralized CRM replaced fragmented tools and scattered processes.
  • Dashboard visibility into leads, conversion, and client stage with no extra effort.
  • Offers documented and communicable with full confidence.

Personally

  • Works from a place of ease, not striving.
  • Decisions made from data, not vibes.
  • Clarity and confidence when speaking about her offers.
  • Trust that as the business grows, the system grows with it.

In her own words

"You are the best money I have ever spent. Every time I pay her fee, it is the best money I spend, hands down. I have backend systems now. Things are automated. Everything has a layer. Everything has a purpose. Everything has a plan."

"She took my business on like it was her own. She really leaned into my vision and where I was trying to go. I had a lot of fragmented parts in my business and I could never quite get everything to gel. Working with you is what finally brought all of that together."

"I asked God to send me the right team because the vision was so grand. He answered that prayer when he sent Tricia."
